Position: Administrative Assistant 

Hours: 15 hours/week; 2 weeks paid holiday/year; additional unpaid holiday time negotiable. Remuneration: $23.00/hour, paid biweekly 

Start date: September 2024

St. Andrew’s seeks a permanent, part-time Administrative Assistant who is personable,  professional and works well in a small team. Located in the Mission area near 5 local schools and a daycare, this is an ideal job for someone seeking in-person work during school hours. The  Administrative Assistant is responsible for the front office, the day-to-day administrative life of the  church and cemetery, and is an important representative of the church to the public. Orientation  and training provided.

RESPONSIBILITIES 

  1. A) Church Administration 
  • Daily correspondence 
  • Prepares Sunday bulletin as well as bulletins for special services (Holy Week, Christmas, Easter,  funerals, weddings, baptisms), associated paperwork and ministry rosters  
  • Coordinates facility and parking rentals and prepares all invoices, receipts and contracts Maintains office filing systems and equipment. 
  • Coordinates Safe Church training and other initiatives with the Incumbent Remits payroll for St Andrew’s to Diocese by due date requested 
  • Schedules yearly property maintenance, garbage removal and ordering of janitorial and office  supplies. 
  • Provides general administrative support to Leadership Team. 
  1. B) Cemetery Administration 
  • Maintains paper and online records for all plots and burials 
  • Prepares administrative documentation for plot sales, interments and maintains burial  register. 
  • Liaises with grave-keeper and other contractors  
  • Files annual Consumer Protection Place of interment License renewal

  1. C) Offerings & Envelopes 
  • Assists with offerings: prepares Sunday recon sheet, envelopes, prepares and delivers deposit. Tracks parishioner and non-parishioner giving, addresses, and produces annual tax receipts Produces annual reports to the Treasurer: PAG totals for budgeting, CRA tax receipt totals, End  Year Donor totals, median donation stats. 

ACCOUNTABILITY AND RESPONSIBILITY 

The Administrative Assistant is accountable to the Incumbent (priest) and two Wardens (executive  leadership team) and in their absence, Church Council. 

Training and probationary period provided. There are annual reviews for this position. 

QUALIFICATIONS & ASSETS 

Proficiency in all Microsoft Office Programs 

Proficiency in basic social media (template-based website/Facebook)  

Excellent communication, interpersonal and organizational skills 

Knowledge of the Anglican church and liturgy is an asset 

REQUIREMENTS 

Signed letter of employment 

Criminal records check  

Safe Church training module 

Adherence to Diocesan/Parish communicable disease prevention plans and/or Provincial Health  regulations
